PaperPort For most of us, the paperless office -- fewer office supplies, dead trees, and overflowing filing cabinets -- has been an elusive goal. But ScanSoft's PaperPort Deluxe 7.0 paper-management program may help you move closer to that objective. The software incorporates tasks such as scanning, image editing, form completion, and optical character recognition, and can be used to organise files from such diverse sources as word processors, digital cameras, Web sites, and spreadsheets.

When you install PaperPort, it searches your drives for programs to which it can link. Buttons for these links appear below the main display area, along with buttons for faxing, printing, sending e-mail, converting documents to Web pages, sending files by FTP, and discarding documents. On the left side of the display is an Explorer-type folder list with common categories already in place.

Documents on the file list are displayed visually. When you open a PaperPort folder, thumbnails of the files it contains pop up on the central desktop so you can quickly scan their contents. You double-click the thumbnails to open them, and drag and drop documents to send to your printer, fax, or e-mail programs, for example.

PaperPort's organisational functions are formidable, as are its text-related features. To convert a scanned document to text, simply drag the document thumbnail onto the link for your word processor. You can also select an area of a page to convert; this copies the new text to the clipboard. Our favourite feature is the FormTyper, which identifies form field areas in a scanned document so you can fill it out electronically. We were impressed with the program's accuracy.

Overall, we found PaperPort Deluxe 7.0 to be a super organisational tool, and recommend it highly to anyone looking for a shortcut off the paper trail.
