Quickbooks QBi 2008/2009

Accounting software is never going to be sexy. We didn't find Quickbooks QBi 2008/2009 sexy, but we did find the latest incarnation of the well known brand to be a great program and a worthy upgrade.

Quicken's got one of the best known "names" in accounting software, along with firms like MYOB, and the 2008 refresh of its Quickbooks line of accounting packages does have a certain amount of visual sheen added to it. Users of previous versions shouldn't find it too baffling — this isn't the same kind of change that Microsoft did with its Office packages — but the streamlined interface, which places most common tasks at the top bar of the Customer, Supplier, Employee and Report centres — does make it a decent option for new Quickbooks users as well.

It's clear as well that Reckon, the local Quicken distributors, have taken a page out of Microsoft's book when it comes to product variance. The QBi range is available in seven different variants — eight if you count the accountant-specific version — from the $139 "EasyStart" package, which limits your customer base and function set, right up to the $4500 Enterprise version. There's even variance within editions; the Premier edition can be set up with tools and reporting requirements for different industry types as needed.

Setting up Quickbooks QBi is a relatively straightforward process, with a simple business wizard for first-time users, and the ability to import existing company files if you're an existing Quickbooks user. We performed the latter step, at which time we were encouraged to backup our older file — a very sensible step — before converting the company file. The new file took very little time to create, at which point our existing accounts structure was preserved in its entirety. For those coming new to the program, it's quite simple to create bank structures, customers and suppliers, and the layout encourages logical — if rather accountant-centric logic, but that's understandable in context — business processes.

The QBi edition of Quickbooks uses a SQL database structure, which is claimed to make it considerably quicker for transactions, especially if you've got a complex company structure. It's backed up with this by the inclusion and integration of Google Desktop. While there's a reluctance for many businesses to use Google's tools and thus give up some of their private information, Reckon representatives told us that the implementation of Google Desktop within the QBi range only impacted on the PC desktop itself, with no financial information going back to Google itself.

The other new addition to the QBi series is a portable company file option. This is a more heavily compressed file — and notably a bit slower when you're restoring it on an exterior machine — but with the idea for larger businesses that you'll be able to fit the company file onto a Flash drive for portability purposes.

There's a sting in the tail to Quickbooks, and it's one that Reckon clings to with a certain amount of ferocity; the program requires online product activation at regular intervals. We're not big fans of activation, a process that usually just annoys customers and can lead to big problems if the activation process fails for reasons outside the user's control. When you're talking about a package which controls your money, that worry is even more pronounced. We wish Reckon would drop the product activation, but it doesn't seem likely any time soon.

If you're an existing Quickbooks user, the newer sleeker interface and much improved SQL database makes Quickbooks QBi an extremely worthwhile upgrade, even if you're running on a much older Quickbooks engine. Those looking for an accounting package with the end of the financial year looming are probably leaving it a little late at this stage, but still should find the QBi series easy enough to get to grips with, as long as you've got some basic accounting knowledge to bring with you.

    Answer (according to Quicken): One new button.

    Watch out! the last time I bought an "upgrade" quickbooks for around $800, the first upgrade for three years, the only real change was a single button allowing you to put your icon onto a staff paycheck. $800 for an icon? In three years? They didn't even bother to change the color scheme!

    When I approached the company about this it was obvious that whilst the staff are good, the management just doesn't care. They obviously think that the Australian market is not really worth much effort. I have seen a few comments from others that were burned this way last time. and they were equally unhappy.

    I would not mind quite so much if the expenditure didn't represent a weekly wage, or if the software did not have some obvious weaknesses, including very poor inventory, and a "cash" based report that is not really "cash" based., an inability to change some reports into alphabetical order, instability, especially when running vista, a CRM addon package that is just not worth the memory, inability to import or export transactions and several hundred other deficiencies that has spawned an addon industry. Quicken have done good work on this package when they first introduced it, but have been riding that work for several years.

    The reviews I have seen of this new product has definitely not changed the above.

    From my reading of this upgrade to QBi there is currently no integration with Quickens Retail Point of Sale software. If true then this is a major oversight likely to restrict take up of the product for small medium businesses with a retail shopfront. Also I love that NAB is the major sponsor of the QBi roadshow, Quickbooks couldnt even provide a programe to interface with the NABs new Sagem EFTPOS machines released a year ago. What a combo Nab and Quicken, both as bad as each other it seems.

    The good: Looks good with SQL DB and faster more intuitive

    The bad: No integration with Retail POS! Cant believe this could happen.

    For those other uses like me out there in small business, QB has lost some simple functions.

    The good: The ungrade worked sucessfully this time.

    The bad: When you open your items screen, for quick price checks and quoting customers, the items box will no longer give you a gross price. So now, you need to enter the part number of the item in question, then get out a calculator, and add the gst component to the net price before you can quote. This is incredibly frustrating after all previous versions listed the Gross price in cluding tax. What a stupid move from QB!!!!!!!!!!!!! Please relpy to this post if you have a issue with gross price's not being listed on the Items list.

    Unfortunately the invoice discounts for early payment are hopelessly broken (presumably works elsewhere in the world)! Simply doesn't work as documented! Technical Support just shrugs shoulders.

    The good: Should be good if it did what it says in the help.

    My main gripe is printing out creditor remittance advices. Whereas before it was a normal remittance that can be folded to fit into a window faced envelope, now they have changed the layout (why???) and the remittance is now rendered useless. Quickbooks can't fix.

    The good: They layout is good.

    The bad: Too many to mention. I'd switch to MYOB in a flash if I could

    Product QBi Pro 2008-2009. Anyone tried running a Missing Cheque Report yet? Don't bother! It doesn't display anything in the "NUM" field ie: CHEQUE NUMBERS!!! No option to turn off the Audit Trail, which blows out the file size. Program takes ages to load, etc, etc, etc. At $4.95 per minute for advice - HUH! What a joke. The only joke is on the user. The CEO gets his value for money - a nice beach shack on a SEQ coastal island. Last time we'll ever use this box-of-junk! Not happy Jan.

    The tax amount column is now not editable in this version which is a serious issue. For instance in many cases the GST on bills is not exactly 10% - take for instance Vodafone and roaming GST not payable on the overseas portion.

    When I get the time I'll do some research on the opposition my main problems are 1) You have to buy an update each year to install the latest PAYG tax codes. 2) The sudden inability with this version to enter bills and be able to adjust the TAX amounts. The brain surgeon that came up with this new method deserves a flogging. 3) Speed. A lot slower than previous versions. - Earlier versions of quickbooks were brilliant and user friendly and saved a lot of work. I can't see any real improvement with this latest version to justify an upgrade

    Quickbooks QBi looks nice but it has a massive bug. It doesn't let you charge Australian customers GST if they are being billed in a foreign currency! In other words, Quickbooks force you to break the law by providing inaccurate tax invoices!
    I'm sure I'm not the only one in this situation. Around 95% of my business is to the UK so my website charges in pounds. However I have the occasional Australian customer that I have to charge GST on the invoice. Now I can't do this.
    My options are to downgrade back to the last version or move my business to the UK and use the UK version of the program. In the meantime I am telling all Australian customers to buy my products from amazon.co.uk as my stupid software won't let me sell my own product to them.

    The good: The new icon looks better on my desktop than the old green one. That's about it!

    The bad: It won't let me send my Australian customers a proper tax invoice if they buy from my UK website.

    Shocking behaviour from Quicke ...Anonymous -- 30/09/08

    Shocking behaviour from Quicken in this upgrade - Outlook Express used to work perfectly fine with the email integration - with this release it NO LONGER WORKS. I can't believe I haven't found more people with this issue - it's integral to our business, and we have no choice but to purchase Outlook, which we have no need for other than to send email from Quickbooks. If you have also had this problem, please comment, I can't believe I'm the only one?

    The good: Easier to find items with autocomplete

    The bad: Forced purchase of other software which is not mentioned anywhere in the upgrade documentation. Integrating customer lists etc is all well and good, but to require Outlook just to send email is ridiculous.

    So many that its past a joke.
    1. I asked for a refund and I was denied one as I had the opportunity to se a trial & if it worked OK for me I then had the opportunity to buy it.
    2. Emailing invoices doesn't work with Outlook 2007 because Outlook was release after Quicken 200809
    3.I sick of talking to Asian help desk staff and trying to come to grips with their accent
    4. One of their partners doesn't even do any onsite support
    5. My wif got ut off and no attempt was made to ring back
    6. No one cam claim its user friendly is i because we' so use to uing MS products that its no longer a recognisable term any more?
    7. Modifying the invoice layout is a joke - definaely not user friendly.
    8 Try ATO's e-record - yes its got lmittions but its FREE and the help desk are Ausies and they don't bull **** you.
    9. Qucken's managment have no idea of what customer service means they jut quote company policy back t you.
    There are some good packages out there - yo can'trust MYOB as its reports are out of whack - hats why your accountant asks for printed reports.
    I might have a look at "Mechanic" as its suppose to be easy for mechanics to use - to m that in its self says a lot.
    One of the first things that the manager mentioned was "as per the office of Fait Trading..." (or words to that effect) sounded like a "put off" before I even got started. Yes he was very well rehearsed. But did he do anything o improve Customer Relations -he doesn't know who I know & what will become of my dissatisfaction.

    I cannot believe that Intuit actually released this as an upgrade. They clearly wanted to get the upgrade out by the end of the financial year and released it FULL of bugs, as listed below in cons.

    The amount of time that all of these bugs has cost my office is extraordinary. At the moment I cannot even produce reports for 2 of the comapnies that I oversee. This has been going on for 2 months at this stage and my bookkeepers are struggling to cope with their workload due to the additional effort involved in trying to make sense of the accounts.

    Quicken Support initially gave me some very unhelpful suggestions on how to "work around" the bugs (such as simply adding the tax value to the item value on foreign currency invoices!!!!!) and has ignored my requests for assistance since they realised the the bugs were serious.

    There should be some form of recourse against software companies as irresponsible as this.

    The good: 1. The ONLY pro is that finally you can edit prior payrolls to add job names and so on.

    The bad: 1. Cannot enter a tax code on foreign currency invoices - This has caused our prior foreign currency taxes to be multiplied by twice the exchange rate, which means that our balance sheet now show millions owing in taxes which are not owing. 2. A bug has caused our trial balance to become out of balance with transactions being thrown into accounts called "Uncategorised Income" and "Uncategorised Expenses". The items within these codes are Balance Sheet items! This means we cannot produce Balance Sheets or Trial Balances that make any sense, our accounts payable and receivable are wrong and none of the reports can be relied on. 3. We couldn't upgrade until the end of July as we are multi currency users, therefore we had to manually calculated our PAYE for the 1st 2 payrolls of the year. When we were finally allowed to upgrade, we encountered the problem listed above. 4. Foreign currency payments and receipts appear in the foreign currency instead of the local currency in the bank reconciliation. 5. The program seems to be unstable (which is not suprising with all of the bugs!) and keeps crashing. It also "disappears" from the desktop while being used. The only way to get it back is to try to open it again, at which time the original screen reappears and an error message tells you that you can't re-open it. 6. The inability to edit the GST amount is very inconvenient and I have had to do several work arounds because of this. 7. The Construction version STILL does not have a report that shows actuals plus commitments. This is a serious oversight.

    Importing payments via iif fil ...Robyn Goldsmith -- 09/11/08

    Importing payments via iif files does not default to Australian Currency so every payment comes in as a blank currency in the Bank/Make Deposits form. You can still group and deposii them but the Undeposited Funds registers lists them as 0.00. Impossible to do a bank rec with this!

    The bad: Very poor support for Australian version. Sales reports don't group properly under Accrual Reporting only with Cash reporting Zero bank deposits from imported payments via iif files

    If /When they fix the problems with the product it will be a category killer. As a regular MYOB user, QB- 2008/09's new SQL backend and new customer and supplier interfaces have massive increases in productivity

    The good: New Supplier and Customer Centres that absolutely rock - access data super fast, great sorting and filtering

    The bad: It doesn;t work. Quick books still havent advised me that there is a problem, however like many others my trial balance no longer balances, i cannot run an accurate P&L or Balance sheet so we are flying by the seat of our pants and the only way to fix this is to delete and reenter transactions that mysterioulsy appear in uncaetgoriesed income and uncategoriesed expenses - did anyone say Class Action? The worst communication of any software company ever and if you want to speak to anyone to find out if the problem is software related, you have to pay for the privelige

    Its not an SQL database, it still uses the QBW files. They have just added support to query the .QBW file via SQL as a communication layer. This may help in reducing data file problems, but not likely.

    The bad: * Legacy Code, dont they have any talented programmers? * Surely they can move 100% to an SQL database, why the need for .QBW files. Its the year 2008 not 1988!

    We first got the subscription copy early last year. There were bugs galore and no multi-currency so we were advised to roll back.

    After doing so we got loads of errors about help files and IE based stuff. This was never resolved.

    Finally we got a fixed copy a few months later (I had to chase for it) only to find that none of our templates worked and the interface was a dog.

    We decided to buy a full copy of 2007/08. Guess what? They don't sell it anymore and no one has a copy.

    What kind of ridiculous and unhelpful company is this?

    The new database drops information from some fields when producing reports. For instance, when a superannuation report uis produced, QB fails to include the member number in the appropriate field. My business has spent hours with a QB consultant and trainer - at our cost - to no avail.

    The good: few

    Reckon is responsible for the distribution and development of QuickBooks in Australia and New Zealand with some re-sellers in parts of Asia.

    Reckon has developed QBi Service Pack 2. This service pack is available to ALL users of QBi, including non current members of the Reckon Advantage program. QBi users can download Service Pack 2 for free from http://www.quicken.com.au/Products/QBPatches.aspx

    This service pack contains enhancements to the QuickBooks product, many of which address points raised in this forum such as:

    -Tax on Foreign Transactions
    -Emailing with Outlook Express (please note that Outlook Express was not supported in prior versions. Due to customer feedback this functionality has been implemented)
    -Missing Cheque Report enhancement
    -Addition of Gross Price on Item List
    -Ability to edit Tax Amounts
    -Tax reporting enhancements
    -Updated help files

    With respect to other points raised in this forum:
    -QBi successfully integrates with Reckon's Retail Point of Sale product and has the capability to email using Outlook 2007
    -All versions of QBi utilise SQL Database Server technology (provided by Sybase). The use of the suffix .QBW for the database server data store has no more meaning than Microsoft SQL Server using .MDF as its data file suffix.

    With regards to Support and Service, Reckon is constantly looking for ways to deliver the best to its customers.     If Customer Service is so important to Reckon, why is there no support for a Subscription version? Hell, a customer can't even notify your Support Department of a program fault without paying $4.90 inc GST/minute for the privilege of doing so. Basically, as has always been the case, once Reckon has your money, you can just p.ss off because they don't want to know!

    I have been using Quickbooks Premier for 5 years an so peeved with the QBI upgrade - I am seriously. It is 10x slower than the oldversion - my staff are sitting waiting and waiting. Doing deposits from undeposited funds now sorts in type order rather than by date (there was a filter for this which is still there so now unrelevent!). My BAS took 45 minutes just to fill in some basics fields. And you can no longer do a sales reciept for a negative amount which you could do in the previous version.

    The good: can see the items as the columns are wider

    The bad: slow slow slow slow & slow - am looking to change to MYOB.

    I have had 2 problems so far.
    - I could not do a direct upgrade from 2008/09 Premier to 2009/10 (???) had to uninstall the older one and then a fresh install of 2009/10
    - When i am doing reports, the description column disappears when I export or print. Saving as PDF does work but I need to add calculations at the bottom of the spreadsheet (client requirement). We have been told that they now know that its a bug, but who knows how long its going to be before they release a bug fix for it.

    The good: Some new features (which i am yet to find)

    The bad: If you got the upgrade version, don't expect it to work. It will let you do a full install off it however, somehow it finds remnants of the previous (uninstalled) version. As above, in Reporting the Description column disappears on Export or Print
